Job Summary:
We are looking for a motivated and organized HR Operations
Specialist to support our global HR team and manage our office in
Poland. This role will handle HR operations across multiple regions
and oversee administrative tasks specific to our Polish workspace.
Key responsibilities include coordinating employee benefits,
maintaining employee data, supporting compliance, working on global
HR team projects, managing office logistics, and event planning for
our Polish team. This role offers a unique blend of HR and
administrative experience for someone interested in growing their
career in Human Resources.
Key Responsibilities:
- HR Operations Support:
- Global Benefits Administration: Coordinate and manage employee
benefit programs across regions, including enrollment, adjustments,
and communication with local providers.
- HRIS and Platform Management: Maintain and update employee
files in HRIS and utilize digital tools for document management,
surveys, and collaboration, ensuring accuracy and compliance with
global standards.
- Onboarding and Offboarding: Facilitate global onboarding and
offboarding processes, including background checks and document
collection, while adhering to regional compliance
requirements.
- HR Policy Compliance: Ensure HR policies are consistently
applied and collaborate on updates to documentation to reflect
local and global practices.
- Employee Support: Act as a point of contact for employee
inquiries, leveraging HR platforms to track and resolve or escalate
issues effectively.
- Reporting and Analytics: Generate and analyze HR reports to
support data-driven decisions, track HR metrics and assist in
managing HR platforms.
- Office Administration:
- Event and Engagement Planning: Organize internal events for the
Polish team, support engagement initiatives, and foster a
welcoming, inclusive office culture.
- Supply and Facilities Management: Manage office supplies,
coordinate with vendors, and collaborate with the co-working space
owner to address any facility needs.
Skills and Experience:
- Education: Bachelor's degree in Human Resources, Business
Administration, or a related field.
- Experience: Minimum of 2 years of HR or People Operations
experience, with exposure to global HR functions and experience in
office management is an advantage.
- Technical Skills: Strong working knowledge of MS Office 365.
Proficiency in HRIS systems and skilled in generating reports and
analyzing HR metrics is a plus.
- Language Proficiency: Fluency in both Polish and English is
essential for effective communication with international teams and
local vendors. Ability to speak Russian is a plus.
- Interpersonal Skills: Strong communication and interpersonal
abilities to provide internal customer support across diverse
cultures and regions, with the adaptability to work effectively in
a remote environment.
- Administrative and Organizational Excellence: High attention to
detail, exceptional organizational abilities, and the capability to
balance a diverse range of tasks effectively. A proactive approach
is essential, along with a genuine drive for administrative tasks,
ensuring the precise and efficient execution of both HR operations
and office management responsibilities.
- Event Coordination and Team Engagement: Enthusiastic about
planning events and fostering a positive, inclusive office
atmosphere that promotes team engagement.
